Green Lightning ProClean LLC (“Company,” “we,” “us,” or “our”) maintains a strict internal documentation policy as part of our operational standards, quality assurance, and legal protection procedures.
1. Documentation as a Condition of Service
As a standard and non-negotiable part of our service process, we may record video, capture photographs, or otherwise document areas of the property before, during, and after cleaning services are performed.
This documentation is a required operational procedure and is conducted for the following purposes:
Marketing and promotional materials (e.g., website, social media, advertising)
Internal staff training and educational content
Quality control and service verification
Documentation of property condition prior to service
Evidence in the event of disputes regarding service quality, alleged damages, or missing items
Proof of performance and completion of work
Transparency and accountability in client communications
By proceeding with booking and service, the client acknowledges and agrees that such documentation may occur.
2. Scope and Limitations
- All recording and photography will be strictly limited to the areas of the home where cleaning services are performed. This may include, but is not limited to, kitchens, bathrooms, living areas, bedrooms, and entryways.
- We will not record or photograph any area of the property that is outside the scope of the cleaning service (e.g., private offices, safes, or personal storage areas) unless express written consent is provided.
- We will never film or photograph any individual, family member, guest, or pet unless we have received explicit verbal or written consent from the person(s) involved.
We do not intentionally capture personal identifying information, financial documents, or private personal data. Documentation is focused on the condition of surfaces, fixtures, and areas relevant to cleaning services. If personal items appear incidentally within documentation, such inclusion shall not constitute a breach of privacy, provided the media is used consistent with the purposes stated above.
3. Consent and Revocation
- By accepting our services and acknowledging this policy, clients agree to the limited and purpose-driven use of video and photo documentation as outlined above.
- Clients may request that specific photos or videos not be used for public purposes, and we will honor those requests when made in writing.
- Consent to record for internal documentation purposes (such as damage disputes or proof of service) cannot be retroactively revoked once the service has been completed.
4. Ownership and Use
All media collected remains the sole property of Green Lightning ProClean LLC. The Company reserves the right to use such media for lawful purposes consistent with this policy, including digital and print formats. Media will never be sold or distributed to third parties for purposes unrelated to the Company’s operations.
5. Security and Storage
Media files are stored securely and may be retained for up to five (5) years for internal records, training, and legal purposes. Access to this content is restricted to authorized personnel.
